School Secretary

TITLE:              School Secretary - Athletic Office

 

QUALIFICATIONS:

  • Must have outstanding interpersonal skills: This position interfaces directly with students, school personnel, parents and the general public. It requires the ability to deal effectively with people – in person and on the telephone – and to work well under pressure. Candidates must be responsible, dependable, ethical and able to maintain confidentiality.
  • Must have excellent organizational skills: The position requires someone who can handle multiple simultaneous tasks expediently and with accuracy. Attention to details is eminent.
  • Must have superior technical skills: This position requires combining speed and accuracy in the use of office technology.
  • Preferred experience in an Athletic Office or High School

                       

DUTIES & RESPONSIBILITIES: 

  • Follows and maintains knowledge of all District policy(ies) and procedures.
  • Uses word processing to prepare correspondence, reports, notifications, newsletters or other materials for the Director of Physical Education, Health and Athletics
  • Performs a variety of administrative tasks, including answering telephones, daily event confirmation, routing telephone calls or messages to appropriate staff, operating general office machinery, typing, proofreading, filing and handling all incoming and outgoing mail.
  • Supports the district’s physical education, health and athletic department by managing   yearly and seasonal schedules, coordinating events and event logistics including event sttaff, facilities use, and transportation.
  • Maintains all student athlete files and coaches’ personnel files in a confidential manner.
  • Attends to the operation of the office including budget preparation, billing and other fiscal matters and requisitioning and control of supplies.
  • Serves as a point of contact for athletes, coaches, parents, and other staff regarding physical education, health and athletics-related inquiries.
  • May assist with organizing special events, award ceremonies, and other athletic activities.

 

TERMS OF EMPLOYMENT:  35 hours per week

Sr. School Secretary

TITLE:  Senior School Secretary

            Secretary to the Principal

 

MINIMUM QUALIFICATIONS:

 

  • Must be on civil service list or currently hold a Sr. School Secretary position
  • See Orange County Job Specification #1601 for qualification and specification
  • Must have outstanding interpersonal skills: This position interfaces directly with students, school personnel, parents and the general public. It requires the ability to deal effectively with people – in person and on the telephone – and to work well under pressure. Candidates must be responsible, dependable, ethical and able to maintain confidentiality.
  • Must have excellent organizational skills: The position requires someone who can handle multiple simultaneous tasks expediently and with accuracy. Attention to details is eminent.
  • Must have superior technical skills: This position requires combining speed and accuracy in the use of office technology.
  • Must demonstrate discretion: The position handles confidential student and personnel matters
  • Preferred experience in a school setting.

 

DUTIES & RESPONSIBILITIES:

 

  • Operates office equipment such as keyboards, calculators, copy machines, computers and peripheral equipment
  • Prepares important and confidential material including student and staff records.
  • Reads incoming mail and distributes to appropriate person or organizational unit
  • Coordinates the daily procurement and assignment of substitutes to ensure classroom coverage.
  • Receives and handles inquiries, complaints and requests concerning building activities either in person or via telephone.
  • Schedules appointments and meetings and takes notes of meetings and prepares minutes; compiles or researches data and prepares reports
  • Supervises and participates in administrative functions such as departmental budget preparation and control, and the requisitioning and control of office supplies
  • Participates in the financial accounting operations of the department
  • Relays directives to subordinate personnel and follows up on their completion in accordance with delegated responsibility
  • Composes correspondence independently as delegated, or from brief direction
  • Performs a variety of complex clerical tasks
  • Coordinates the production, design, and printing of official programs for graduation ceremonies and other school-wide celebratory events
  • May supervise subordinate clerical staff
  • Financial and Purchasing Responsibilities including purchase orders, requisitions and budget preparation  

 

 

TERMS OF EMPLOYMENT:      35 hours per week

                                                    52 weeks per year
